Admation 3.133 Release Notes

This document outlines the new features, improvements, bug fixes and other tasks included in this admation release.

Release Overview

The focus of the release was to introduce a new AI Compliance Checker to help make the approval process a little more efficient. Below we describe what the system is and how it

works. Initially we are only opening this up to a few clients to get feedback before making it more widely available soon.

Improvements

AI Compliance Checker

In today’s world, marketing collateral needs to be looked at in the context of many sets of rules and regulations. These may include government legislation, industry policies,business and brand guidelines, pages of documentation explaining what you can and cannot do in your marketing. Ensuring compliance with all these rules is near impossible, and that is where Admation’s new AI Compliance Checker steps in.

Rules

The first step in any compliance system is working out what rules you need to comply with. In admation, we can set up globally available rules, such as government legislation and policies, as well as rules specific to your organisation, such as brand guidelines. Rules comprise a definition of the rule, as well as an optional code that people may use to reference this rule within a document. Rules can be added manually, but we are also able to ingest a document and extract the relevant rules and codes from it. Rules are then organised into Rule Sets. Rule configuration is currently managed by the Simple team.

A Rule Set can be comprised of many Rules, each with a definition and an optional Reference Code.

Triggers

Once you have your Rule Sets in place, you will then want to apply them to the artwork loaded against your deliverables. Relying on users to remember which rule sets need to

be applied to each piece of work is possible, but we have also added Triggers to simplify this process. 

Put simply, a Trigger is a series of conditions which, if met, will apply a number of predetermined Rule Sets to a user’s work.

Triggers can help automate the application of various Rule Sets to specific work.

In the above image we see that, if the deliverable we are looking at is marked as being Packaging in either the Australia or New Zealand markets, then the five selected Rule Sets will be applied to that work automatically. This is a time saver for users, but also ensures additional peace of mind to the business that the appropriate rule sets are applied.

Checking Work

We have added buttons (look out for the work seems most useful. These include;

• Within the Deliverable Details screen

• Within the Approval Submission screen

• Within the Approval Centre icon) to various places where checking your 

Having these checks completed in the deliverable details, and approval submission screens allows a submitter to see if the work passes a basic compliance check before sending it to users for their own assessment. This should cut down on revisions, and the time required to approve work.

Once the compliance check is completed, users can see a summary explaining the number of passed/failed rules, as well as some overview text to explain what was found.

This is followed by a list of Rule Sets that were applied and includes the number of passed/failed rules within them. Flipping open a Rule Set reveals the list of rules inside it,

with pass/fail statuses against each one. Failed rules also have an additional comment which could be used as a guide to work out how to resolve the issue.

We are currently working on an exporter so that users can create a PDF document which includes all the AI Compliance Checker commentary and feedback. This will further assistin situations where the uploader of the work is not the creator of the work, and they need to pass on this compliance check feedback to the creator.

If an approver is viewing the AI Compliance Check results from within the Approval Centre, we have also added options to quickly add markups based on any failed rules. Simply click the “Add Markup” (or “Add General Comment”) button, and a markup will appear with any failed rule text applied to it.

When viewing the AI Compliance Check results from the Approval Centre, users can quickly create markups.

AD-23153 Administration Screen > Adjust layout

We have updated the UI or the Administration system to bring it more in line with the changes we have made throughout the system.

Bug Fixes

AD-23297 Allow administrators in a parent organisation to edit assets in a sub organisation

Organisations can be structured in admation as a tree, each node having a parent organisation, and child sub organisations. Administrators in a parent organisation

sometimes need to access assets and other work within the sub organisations below them. This has now been fixed.

Approval Centre > Multipage PDF file > Error message if you flip through too many pages conditions.

Fixed an issue that would present a “backtracked too far” error message under specific conditions.
