3.131 Release Notes (February 2026)

This document outlines the new features, improvements, bug fixes and other tasks included in this admation release.

Release Overview


The focus of the release was to introduce dynamic approval deadlines, add a rules based recommendation system for approval templates, as well as to fix some other small issues.


Improvements


AD-21405 Add ability to set approval deadlines at the moment that the approver receives the approval request


Admation has long supported Approval Templates, allowing each approval level to define a default turnaround time in days.

For example, approvers at Level 1 might have two days to respond, while Level 2 approvers may have four days due to the nature of their review.

Previously, these turnaround times were converted into fixed deadlines for all approval levels at the moment the request was submitted. This meant that if an earlier approval

level responded late, it reduced the available time for subsequent levels.


With this release, deadlines for each approval level can now be calculated at the moment the approval request is sent to that level. This ensures that every approver receives their

full allotted response time, regardless of delays earlier in the process. Using the example above, if Level 1 takes three days to respond instead of two, Level 2 will still receive a deadline set four days after they receive the request.

To better support dynamic approval deadlines, we’ve also updated the Approval Submission screen.


Submitters can now easily switch between:

• Fixed deadlines, where absolute dates are set for each approval level, and

• Dynamic deadlines, where each level is given a defined number of business days to respond.


The Approval Reminders interface has been integrated into the main submission page, consolidating key controls into a single, streamlined screen. 


Submission Details and the list of submitted Items have been repositioned to ensure the most important information is immediately visible. 


Finally, any required Checklists are now located directly beside the Submit button, ensuring they can’t be overlooked.





Submission Manager has had its layout adjusted to incorporate dynamic deadlines




AD-21036 Approval Template recommendations based on submission rules

Alongside dynamic deadlines, there is a new rules-based system for Approval Templates.

This system automatically highlights Recommended Approval Templates based on how closely a submission matches a defined set of criteria, helping submitters select the most

appropriate template more quickly and confidently.


Templates can be recommended when a submission meets one or more of the following conditions:

• The deliverable is of a specific Deliverable Type (for example, video or print)

• The deliverable belongs to a specific Campaign

• The deliverable is assigned to specific Markets

• The deliverable has specific Tags

• The deliverable is associated with specific Organisations

• The submitter belongs to a specific Department

• The submitter has a specific System Role (permission level)




Setting Recommendation Rules on an Approval Template


When submitting an approval request and selecting a template, if the Recommendation

Rules of a template or templates match the details of the submission, that template will be flagged as being Recommended and placed at the top of the templates list.




When selecting a template for a submission, Recommended templates will appear at the top of the list




This enhancement reduces guesswork, improves consistency, and helps ensure the right approval process is applied every time.



AD-22350 Calendar subscriptions for Deliverables

Admation includes calendar subscriptions that allow you to view key dates from your work directly within your preferred calendar application.


You can now subscribe specifically to Deliverable-related dates, making it easier to keep track of important milestones for deliverables you’re associated with, without needing to

check Admation. Additional calendar subscriptions are also available.


To view and manage your calendar subscriptions, open User Settings from the main menu and navigate to the Calendar Subscriptions module.






AD-22483 Approvals > Display the General Comments field when a user submits feedback

When making a decision on an approval request, users are presented with a confirmation modal before submitting their response.

A General Comments text area has now been added to this modal, allowing approvers to include additional context or feedback at the moment they submit their decision.

This ensures comments are captured clearly and at the most relevant point in the approval process.

AD-23044 Improved approval status filtering in the Approvals List

We’ve made a couple of small updates to the Approvals List to make it easier and faster to find what you’re looking for.


• The Approval Status filter has been moved to the top of the list, making it more

prominent and quicker to use when searching or filtering approvals.

• The New Approval Submission button has been repositioned to align more

closely with its placement on other screens, improving consistency across the

application.


These changes help streamline navigation and reduce friction when managing approvals.

AD-23045 “New” buttons repositioned for consistency

Following the update to the New Approval Submission button on the Approvals List, we’ve relocated “New [Object]” buttons on several key pages to the top-right corner of

the screen.


This change improves consistency and makes primary actions easier to find across the

application.

The updated pages are:

• Projects List

• Ad Storage

• Asset Library

• Resources


AD-22861 Admin > Users > Search by last login date

Admins can now search for users based on their last login date.

This makes it easier to identify recently active users, as well as accounts that may no longer be in use.



AD-22375 Admin > Public Holidays > Filter public holidays by time period

Admins can now filter Public Holidays in their configuration based on the year they are assigned to.

Public Holidays can be viewed by:

• Past

• Current Year

• Future

By default, the list displays Public Holidays from the Current Year and Future, keeping

the view focused on relevant dates.


Bug Fixes


AD-22606 Project > Spreadsheet View > Date picker formatting issue

Fixed a bug where the date picker was not displayed correctly under certain conditions in

the Project Spreadsheet View.


AD-22977 Project > Messages > Sorting by “From”

Fixed an issue where sorting project messages by the From column did not work as

expected.


AD-23039 Project > Project Asset > Error when deleting Zip files

Fixed a bug where deleting a Project Asset that was a Zip file caused an error screen to

appear.



AD-22978 Approval Centre > Error when viewing submitter-completed checklists

Fixed a bug where users encountered an error when attempting to view a checklist completed by the submitter in the Approval Centre.


AD-23004 Approval Centre > Improved formatting when copying markups

Adjusted how text is copied from markups so that formatting is better preserved when pasted into external applications such as Photoshop or Word.

While this process is limited to exporting HTML-based text and may not be perfect, formatting behaviour should now be noticeably improved.


AD-22973 Approval Centre > Notifications for users tagged in markup replies

Fixed a bug where users tagged only in a reply to a markup (and not the original markup) were not receiving notifications.


AD-22974 Resources > Task List > Error when opening “No Project” tasks

Fixed a bug where clicking on a task not assigned to a project caused an error screen to appear in the Resources Task List.


AD-22782 Cart > Cart file settings button not responding

Fixed an issue where the settings button (cog icon) did not respond for Production Files added to the Cart.


AD-23024 Admin > Phases > Colour picker issue

Fixed a bug where the colour picker did not appear under certain conditions in the Admin Phases screen.


AD-22976 Admin > Organisation > Safer editing of Job Number Sequences

Resolved an intermittent issue where Job Number Sequences could occasionally be set incorrectly. To prevent this, editing the Job Number Sequence is now accessed via a dedicated button on the Organisation admin page, reducing the risk of accidental changes while jobs are being created or edited.
