3.121 Release Notes (September 2024)

                                                

This document outlines the new features, improvements, bug fixes and other tasks included in this admation release.

                   

Release Overview
The focus of the release was to improve UI/UX throughout the Project Details and Asset List and Details pages, as well other smaller changes and bug fixes.

                   

Improvements

                   

AD-21731 Improve UX for the Project and Deliverable Details screens

                   

As part of the last few releases of admation, we have focussed on improving the user experience throughout the system and in this release we have tackled some of the most well used screens of the platform.

                   

Let’s look through some of the key changes.

                   

Project Details

                   

The Project Details screen has had quite the makeover!

                   

The details of the project have been tidied up and rationalised so that all the important information – such as dates, the overview and team members -- is at the top of the page, right where you need it.

                   

We have also focussed on bringing as much information throughout the project and it’s deliverables into view as possible. Where previously users were able to get a mere glimpse of the status of approvals, now we show the same detailed list of approvals as we show elsewhere in the system. You can even see items sent directly to you, or all items submitted from within this project/deliverable.

                   

Users are no longer required to delve into a detailed list of documents with those important details and actions now available directly in the main list.

                   

Project Assets are now displayed in a grid view so users are able to see exactly what the assets are.

                   

Messages, Wip Notes, even the Audit Trail, have all been looked at and made available right at your finger tips. And if you don’t need to worry about a particular section, they are all collapsible so you can focus on the details that matter most to you.

                   

We have even looked at the Deliverables tray and included things like Task Assignees so that traffic managers can quickly see who has tasks assigned to each deliverable (requires access to the Resource Management module).

Project and Deliverable Editing

                   

One of the places we spent the most time on was the edit screen for projects and deliverables.

                   

We have allowed this screen to now fill the width of the available space which has given breathing room to all of the elements.

                   

Again, we have ensured that the most important information is at the top of the page and organised in a logical manner with more space given to the Overview, which often acts a pseudo brief, and the key dates.

                                   

    




                                                

Ad Storage and Asset Library Lists & Details

                   

The details screens for both the Ad Storage and Asset Library have benefited from the work done in the Project Details screen as well.

                   

Once again, all the important information is grouped together in a more logical way, and the extra space available has allowed us to make the asset thumbnail itself bigger and become the hero of the page.

                   

We have also made some modifications to the List views to give cleaner lines and more space for your work to really shine.

AD-21688 Approver Checklist > Link checklist to Asset Types

                   

Admation has long had checklists which users must complete before they can Approve a piece of work. Previously these checklists would appear based on the user who the approval was sent to, ie if they were in a specific group or permission level.

                   

Now we have added the ability to tie a checklist to the Asset Type of the deliverable that has been submitted. This means that you can have specific checklists with relevant questions tied to each of your asset types. A checklist can also be tied to many asset types which allows you to have a “Digital Checklist” tied to your digital work (eg video, web and banners), and a “Print Checklist” tied to all your print work.

                   

If a deliverable is submitted and there is a checklist available for the Asset Type assigned to it, all approvers it is submitted to will be required to fill in the checklist before they can approve the work.

AD-21167 Approvals > Reserved Items > Subsequent revisions should highlight previous reservation
If I am part of an approval group where any member of my group can respond to an approval request on behalf of the entire group (an ANY approval), I am able to reserve the approval request to myself, or assign it to another member of the group. This allows teams to keep work levels more even amongst members and reduce bottle necks in the approval process.

                   

Now, when a subsequent revision of this approval request is received, users are able to see who the previous revision was reserved by and use this as a guide to who should be looking at this new revision.

AD-20978 Approvals > Add support for eSignatures

                   

Some of the more heavily regulated industries require additional levels of assurance when it comes to approving artwork and documents in admation. For these organisations, we have added functionality which requires users to manually reconfirm their identity prior to being able to approve an item. This confirmation is retained with the approval and cannot be modified. Confirmation is only required when approving an item so that change requests can be made without this extra layer of authentication.

                   

If you feel that your organisation would benefit from introducing eSignatures, please reach out to your Customer Success Manager who will be able to assist you. Please note that eSignatures requires your organisation also be using Single Sign On (SSO) to login to admation .

                   

Resource Management

                   

AD-21497 Department Manager Approval

                   

Within a department, managers are able to oversee tasks and approve timesheets for members of their team. However, they are not able to approve their own timesheets.

                   

We have now added functionality in the Admin system where a department manager can have a specific user assigned to approve their timesheets.

AD-21713 Task Details > Calendar icon not appearing on the date picker fields

                   

Fixed an issue where the calendar icon was missing from the date picker fields in the Task Details view.

                   

Bug Fixes

                   

AD-21623 Thumbnail preview breaks if the image is very tall and skinny

                   

Fixed an issue that would occur when an uploaded image was very tall and skinny (for example a screen shot of a long web page or eDM) and a user tried to preview the file..

                   

AD-21362 Finialisation > Adding a secondary organisation to a deliverable and re- fianlising it doesn’t add the organisation to the asset
If a deliverable has been finalised previously, you are able to edit the deliverable (eg add a new revision or adjust metadata) and re-finalise it, pushing those changes through to the Ad Storage or Asset Library. There was a bug where adding a secondary organisation to a deliverable and then re-finalising would not add that organisation to the asset. This is now fixed.
