3.30 Release Notes

Release Overview

The focus of this release was to introduce Online Documents and Approval Paths into admation. On top of this, we also made several small changes made to improve the usability of the system.


Improvements

  • AD-4 Add Online Document option to the Documents tab within a project
    Online Documents can now be added to projects and/or deliverables. An online document is basically a predetermined form that users can fill in, replacing the need to upload a file for things such as briefs.

    The forms need to be loaded into admation by an Automaton staff member. Once the forms have been loaded, they can be accessed by all of your users ensuring that they are always using the current version of any form they need to fill in.

    If you would like any of your forms available as Online Documents within the system, please notify your Automaton contact and we will arrange a time to discuss this with you.

  • AD-494 Ability to quickly send a message after uploading a document
    Now when you are viewing the Document Details within the Documents tab of the project, you have the ability to send a message with your document attached to it. This means that, once you have uploaded a document/revision, you can quickly send a message to people letting them know the document has been uploaded/updated.

NOTE: This is only a message and does not submit the document for approval.

  • AD-490 Project Document > Sharing audit trail
    In the documents tab of a project, each document has a widget that shows you how many times this document has been shared with other people. If you click the widget you can see who it was shared with and when as well as access the entire message you sent.

  • AD-486 Submission Manager > Approval Paths
    We have added functionality which allows administrators to maintain a list of Approval Path Templates. An approval path is a predefined group of approvers who have been arranged into a tiered format. These templates can then be used by the wider user base allowing them to quickly invoke a complex set of approval recipients with a single click. A short video has been prepared to demonstrate this further:

  • AD-386 Improve Recent Recipients to include recent recipients from other projects
    Previously when submitting items for approval, if you had already submitted other items from this project, you could reuse the recipient list from those items in a new submission. Now your Recent Recipient lists will include the recipients of items outside of this project. This will allow users to quickly and easily send items to recipients who they use regularly.

  • AD-505 Feedback notification email links should direct you to the Outbound Approval Details
    If someone responds to your feedback/approval request, the link you click in the email will now take you directly to the Approval Details, so you can review the feedback you have received.

  • AD-504 Full screen approval view > Include link to show associated message
    When submitting items for approval, the user is able to fill in a message. This message was not easily visible from the Full Screen Approval view. We have now added a link to this message so users can quickly find the information they need.

  • AD-506 Outbound Approval Details > Add next/previous buttons
    When reviewing the details of the approval/feedback requests, you can now navigate between them using a Next and Previous button set.

  • Additional: Submission Manager > Recipients interface change
    When submitting items for approval, the interface for selecting your recipients has changed slightly to accommodate the new Approval Paths functionality.

Bugs

  • AD-500 In Progress List > Default Search > Include projects from entire organisation structure
    Fixed a bug where navigating to the In Progress list didn't show your list of jobs under certain circumstances.

  • AD-232 Tiered Approvals > Send full message contents to subsequent tiers
    Previously, if you had set up a multi level approval request, your message content was only sent to the first approval level and not to any subsequent levels. We have now fixed this bug.

  • AD-507 Email Link to Messages List > Selected message not highlighted
    Fixed a bug where the selected message was not highlighted in the Global Messages list when you arrived there from a link in an email.
