3.101 Release Notes (November 2021)

This page outlines the new features, improvements, bug fixes and other tasks included in this admation release.


Release Overview

The focus of this release was to improve search options by introducing some Optical Character Recognition (OCR) and Artificial Intelligence (AI) functionality, as well as to improve the Resources system.

Improvements

AD-2837 Using OCR and AI to Extract Text From Artwork and Make it Searchable

Typically in admation, users will specify a name and keywords for their jobs to
enable them to be categorised and and easier to search for. Unfortunately, there are times when this doesn't properly capture what the job is or all the elements in that job. A term or keyword that one person uses may not reflect exactly what another person uses to search for the job. This is frustrating and time consuming for those trying to find specific work.

This is where OCR and AI can step in to help us.

Using the power of Microsoft Azure's AI and OCR frameworks, this premium opt in feature will extract text from a deliverable’s artwork and make that text searchable. When used in conjunction with admation's existing strength in search operations, this new feature will allow users to search for jobs based on their content rather than the existing manual naming of jobs, that are often not logical to all.

AD-2842 Attaching Image Library Assets as Part of Your Feedback

When adding markup to an approval request, you have always been able to upload a file to better explain what you are trying to convey. Now you are able to search the Image Library and attach an asset directly from your markup.

Whether it is a new version of a logo, or a specific image you want the team to use, it is only a few clicks away.

AD-2846 Inbound Checklists > Attach checklists to a user permission level

In the previous release we added the ability for approval checklists (those checklists which are completed by an approver) to be made mandatory for all users in an organisation to fill in.

In this release we are adding a middle ground where a checklist can be applied to a user permission level. This means that all users who have this permission level applied to them will be required to fill in a checklist when approving work.

AD-1986 Allow Users to Bulk Mark Messages as Read

Previously users were able to select many messages in the Global Messages List and mark them as Unread. Now they are also able to mark them as Read.

 

AD-2834 Batch Archive Ad Storage and Asset Library assets

Assets in the Ad Storage and Asset Library are able to be archived one at a time. We have now added a way to archive a batch of assets at the same time.

 

AD-2513 Away Day Manager > Display public holidays

The Away Day Manager now shows any public holidays entered for your organisation.

 

AD-2793 Online Briefs > Allow Read Only Option for Selection Fields

Checkbox lists, drop down menus and radio buttons can now have a read only version in the online briefs. This is useful for briefs that are started from within an existing project where various data points of the job are displayed but should not be editable.

 

AD-2750 Add Ability to Show/Hide the Leave Request and Out of Office Options

In admation, users are able to add leave requests and have them approved by a manager, or set an Out Of Office reply so that people who send you an approval request will know you are away. However, some organisation already have systems in place for these functions.

We have now added configuration options to show/hide these features.

Bug Fixes

AD-2807 FSA View > Remember your selected markup tool when changing pages

If you were adding markup to a multi page PDF in the Full Screen Approval (FSA) View and you switched pages, the system would forget which markup tool you had selected and would default to a default tool. Now the system will keep the same tool selected.

AD-2763 Document Details > Add Revision permission need to be consistent

Fixed a bug where a user was able to upload a document revision but was unable to edit the document due to a permissions issue.

AD-2850 Project Details > File types hidden on the Production Files and Document list

Adjusted the layout so that the file type of the Production Files and Documents are now visible in the Project Details screen.

AD-2637 Email Notifications > Adjust the email layout when items are forwarded from different projects
If you received a series of approval requests which had been forwarded from multiple projects, the email would make it look like they were all from the same project. We have now updated the layout to better reflect which project each item is from.

 

Resource Management

Resource Management is a separate module of admation. If you would like to find out more about it, please contact your Client Success Manager and they will be able to assist.

AD-2503 Department Summary View > option to show/hide Completed tasks

When looking at the Department Summary View, you are now able to show/hide completed tasks.

AD-2403 Tasks List > Change the default view to Tasks Sorted By Project

When a user first views the Tasks list, the default view will be to show tasks sorted into their projects. If a user decides to adjust their task view, the system will remember this and apply the same setting the next time the user views this list.

 

AD-2508 Task Counter > Reflect all incomplete tasks

There is a counter widget (kind of like an “unread email” count) on the Tasks module which would tell the user how many tasks they had which were due today. We have now adjusted this to show the number of incomplete tasks the user has in their Task list.

 

AD-2847 Project > Timeline View > Bug if project keydates are incorrect

If the keydates on a project were incorrectly set (ie if the start date was accidentally set to be after the end date), users would get a bug screen when viewing the task timeline in the project. We have now made it so that key dates must be set in the correct order.

 

AD-2849 Resource Availability Doesn’t Update when Tasks are Assigned

Fixed a bug where a users percentage of allocated time for a day was not updating when tasks were assigned to them.
