Approving or Rejecting Leave Requests in admation
As a department manager with the ability to schedule and approve leave, from time-to-time, you may receive leave requests from people within your department. Leave requests are always sent through to you as an email. From within the email, you should click the Process Leave Request button.
Accessing Leave Requests via Leave Management
You can also click onto your Name in the system, then click into Leave Management.
From the Leave Management page, you'll see your department's team members and their scheduled leave, as well as your own. Without these permissions, you'll see the option to request leave.
Approving Leave Requests via Leave Management
Where leave is pending in the system, it will show as a Yellow bar.
Unapproved leave also shows a number next to the person's name if you need to approve it. Click the coloured bar to review the leave. You can then review the leave request and Approve Leave or Reject Leave as you need to.
You can also Edit the request and nominated proxy user, or you can Delete the request altogether.
Once you approve or reject leave, you'll be prompted to send an email to the person requesting leave, to let them know about your decision.
Fill in the email as needed and click Send to finalise your decision. At that point, the user going on leave will receive a notification with that approval.
Note that if you don't send the email, your decision won't be recorded in the system. Once the leave is approved, you may see two other sets of coloured bars on your leave management screen where:
- Blue shows fully approved leave;
- Green always aligns with any pending or approved leave, and shows where a nominated proxy user will be managing a user's account whilst they are away on leave;
A number next to a person's name represents the number of pending requests that you need to action for that person.
Where a Department has Multiple Managers
Once you have approved someone's leave, you may find that the bar may stay yellow. This indicates that another manager in the department also needs to approve the leave.
If you click on the yellow, bar you may see an Approval Status Pending (1/2) button. This indicates that a total 2 managers needing to approve the leave and may differ depending on your department's settings.
If the number no longer shows next to that person's name, you have actioned the leave correctly for that individual.
How do I know if a leave request is fully approved?
Once the leave request is fully approved, it will show in blue on the screen.
Approved leave will also show in admation resources for users who complete tasks.
As a department manager, you may also opt to Create New Leave or Out of Office statuses for others if leave has been discussed outside of the system.
