Restricting Access to Stored Assets

Locating Your Asset


Sometimes you might want to restrict who has access to a finalised piece of work. If you want to restrict access to specific users, head to the Ad Storage or Asset Library, depending on where your file is stored. Then locate your asset using the filters. You can use the Filter dropdown to refine your search by name, tags and advertiser.


When you locate your asset, click the blue i icon, found when you hover over the asset's thumbnail. 



You can also click an item's thumbnail to open a preview, where you'll have the option to View More Information on the item from the preview screen.




Restricting Access to the Asset


You'll see a page showing all saved information for that asset, along with a number of buttons along the right hand side of the screen. One of these is Edit Access. This button is only visible to the Project Owners and Administrators of your organisation. If you can see this button, select Edit Access.



When you create access restrictions, only the named users will have access to the file, whilst access will be locked for everybody else. Anybody unlisted user trying to access these files will need to request permission from you.


You'll have the option to edit the access so that either specific users, specific system groups or specific entire organisations have access to your asset. Click the Edit Pen Screen_Shot_2019-09-30_at_4.13.28_pm.png to set up your access controls.



Select the desired groups from the Search tool (ie. users, system groups, organisations). From the resulting list, click the orange plus Screen_Shot_2019-10-18_at_9.25.45_am.png icon to add the selected persons or groups. If you would like to remove a person from your selection, click the red Screen_Shot_2019-09-30_at_2.05.53_pm.png icon.  


 



Restricting Access to Related Organisations


When allowing access to specific organisations only, you may opt to Include Sub-Organisations Screen_Shot_2020-01-03_at_11.50.30_am.png so that you can grant access to your organisations which sit underneath your own organisation's structure as well as your own.


When highlighted green, sub-organisations can also view the asset. When white, only your organisation sees the asset. Click Save once you're ready. 



Click Save in the top right hand corner to finalise your changes.


Great work. You've now restricted access to that asset. By default, you will also have access to the asset. Note that you can also update access controls when you edit an asset too. When you return to your Ad Storage or Asset Library, you will notice that the asset now features a padlock, indicating that it has visibility restrictions in place.



Users, groups or organisations who do not have access to this asset will see a padlock instead of an asset thumbnail. They have the option to request access to the asset by clicking the key icon. Only the administrative users can grant access to these assets. 



You can also mark an asset as Confidential when you finalise an item.
