Managing Overtime and Breaks

Accessing Overtime and Breaks

Within the admation resources manager, you can gauge an individual user's capacity and availability by documenting a user's standard working and break hours in the system. For instances where a user takes a break at a different time, or perhaps works overtime on a given shift, admation makes it easy for you to record these changes in the system.

Whilst any admin member update a user's standard working hours, only a department manager can manage overtime and breaks on the fly.

Department managers have access to the Resources tab from their admation menus.

The default view in the Resource Manager is the By User Gantt view, otherwise known as the timeline view. It displays the workload capacity for each team member found in your department(s).

From this view, you can manage overtime and breaks by scrolling down to any team member in the list. Next to their name, there's a Settings Icon Screen_Shot_2019-09-30_at_2.10.56_pm.png where you can Manage Overtime & Breaks.

You must click the settings icon on the same row as the person's name in order to see these options, rather than the option next to a specific task.

From the resulting page, you'll be able to see the standard days of the week and hours that person is scheduled to work, as per the settings in their user accounts.

Whilst you can't change the default settings from this page, you can drag the toggles on either side of their standard hours to indicate overtime.

Manually Editing Overtime

You can also use the edit pens Screen_Shot_2019-09-30_at_4.13.28_pm.pngto manually enter any overtime or break hours.

To manually edit overtime, use the drop downs to update your times as needed. Then click Save.

Note that you can't accommodate later start and earlier finish times from this view. Such requests should instead be handled from admation's Leave Management portal.

You can also Clear Overtime by clicking the relevant link in blue.

Manually Editing Breaks

Click the Edit Pen next to the Breaks heading. To update your standard break(s) for a given day, first untick the checkbox for Use Standard Breaks.

From the resulting window, you will have the option to edit default breaks by updating the drop downs. You will also have the option to remove any existing standard breaks for the day, by clicking the delete iconimage-0.png

You can also add a New Break by clicking the appropriate button.

Once you have made your changes to the breaks for a given day, you can click Save. Repeat these steps as necessary for the different days of the week. Once you are happy, click Done in the top right hand corner to return to the resource manager.
