Uploading Conditionally Approved Work for Review


Certain organisations may have conditional approval turned on for their organisations. Where conditional approval is turned on, your reviewers may decide that as long as you make the changes they request in the system, they won't necessarily need to see the next version of work.



If this button is ticked, there are implications for you, as a designer or submitter of work, around how you would submit that work for approval when the next revision of work is ready to go. This guide runs through the steps to submit work that's been conditionally approved in the system. 

 

Uploading a New Revision of Work for Deliverables


When work is conditionally approved, you will need to send a new version through the system when it is ready. To upload a new revision of work, find your project from the Projects menu. Any work that's been conditionally approved will have a yellow exclamation mark Screen_Shot_2020-03-03_at_11.15.13_am.png next to it.


Work that's left with a yellow exclamation mark can sometimes be left in limbo. Even if you've made the changes outside of the system, it's important to upload that next version of work with the changes made, so that you can have that work officially approved in the system, and so that you can close off the job.

 dmation can partially automate these steps so that gaining approval for conditionally approved work is easy.


Click Add Revisions to upload your new revision of work. 



Alternatively, you may use the Approval Submission screen if that is part of your workflow or follow the steps to submit documents for approval instead.

For deliverables that have already been conditionally approved, admation will let you know. Before uploading the work, you must review the two previous versions of work side-by-side.


Then select the checkboxes to confirm that:

  • you have made the changes that [the reviewer] requested 
  • you do not need [the reviewer] to review that piece of work again as a result.

If these boxes remain unticked, admation assumes that you did not make the changes they requested, and the user would need to see the work again.



Click Save then continue submitting your work for approval as you usually would.



Deciding if the Conditional Approver Needs to Review the Work Again


When work has been conditionally approved, you can Use Previous to pre-fill your approvals list with any users that were on your approval trail for the last revision of work. On the Advanced submission modeyou'll notice an icon Screen_Shot_2020-11-26_at_12.32.43_pm.png next to any users who conditionally approved the work.



If that icon is highlighted green Screen_Shot_2020-11-26_at_12.32.43_pm.png, admation will automatically skip the user because they conditionally approved the work in the last round.


In the event that you would like this user to see the work again, untick this button. It will turn grey. 


When this icon is grey Screen_Shot_2020-11-26_at_12.32.47_pm.png, you've told admation that the user will need to approve the work again, even though it was conditionally approved by that person previously. It will be re-sent as a regular approval.


Note: As of admation 3.98, this functionality is available for documents as well as deliverables.



Conditional Approval Scenarios


If the reviewer was the only person on that approval, it is still necessary to submit your new revision of work, however admation would automatically approve the work on the stakeholder's behalf.
