Reverting an Approval Status
When you forward something for approval and receive a response for changes requested, it is possible for you to Revert the Status to Pending in the system. Such changes may be required when the person requested changes prematurely or in fact, meant to approve the item to move it along.
Reverting an approval status can also be used when comments and changes are provided, but the person collating those responses doesn't agree with what's been said. They may Respond to the comment, then Revert the Status to Pending so that the person who's been forwarded the work can turn their change request into an approval.
For example:
Person 1: Requests changes because they think the heading should be Brand Style Guide.
Person 2: Is the manager and approves the work, with the wording Brand Guidelines.
In this instance, if the work has been forwarded, we can overrule Person 1's feedback, so that we can keep the approval moving along.
Note again that this is only possible in a forward.
Accessing the Forwarded Information
You will receive a notification in your recent activity when you receive feedback from a forward. Click into the feedback from here, or from your recent activity.
View the approval statuses at a glance, then click Go To Original Item to view the file. Note that from this screen, you can also lock any pending forwarded requests if you no longer want to receive feedback.
Alternatively, you can access the file from your Approvals menu to bypass these steps. From the resulting page, ensure that the Forwards tab is active to view all feedback.
From here, you can either collate the feedback, or you may decide that you disagree with some of the comments. You may like to respond to a comment for some context before reverting a status to pending.
To revert a status to pending, look to the Approval Status table above the comments. Click the Settings Cog next to any user that's sent you through a change request. Then click Reset Status to Pending for that user. Note that reverting a status is only available for a change request or negative feedback, however it isn't available for an approval status or positive feedback.
You'll be prompted to write a message for additional context if it's needed. Click Send at the bottom of the screen to revert the status. That person will then receive an email, with the option to re-review the piece of work.
