Reserving an Approval Item
In an ANY approval request, the submitter has indicated that only ONE person in your group needs to provide feedback. As soon as this person submits their approval or changes, no one else in your group will be able to submit their feedback within the system. As a result, certain team members opt to Reserve work to prevent double-handling and potential disappointment if two people are working on the same item at the same time.
An overview of the Reserve Functionality
Reserving an approval request signifies to the team that you will be taking care of the approval request yourself. You may also Reserve the work for someone else in your team.
Whilst reserving an Approval Request does not prohibit your other team members from approving or providing feedback on the item, it suggests that it's being handled by someone else and provides a number of opportunities to allow the Reserver to complete the work as indicated.
Reserving an Approval Item
Log in to admation to access your approval. From the Approval Screen, you can click the Reserve button to reserve the item for yourself, or on behalf of another team member.
A dropdown menu featuring various reservation options will appear. From here, you can Reserve the work for yourself or for another person in your team.
It’s handy to know that the Reserve button isn’t actually visible if you’re part of an ALL approval. So if you’d like to learn more about these different approvals, view the appropriate guide here.
Where an item is reserved for yourself, you'll be able to mark up comments on the file using the instructions in this guide.
Reserving Work for Another Person in Your Team
If you are reserving work for someone else in your team, click their name from the dropdown. Admation will prompt you to send a message to let them know.
Undoing a Reservation
To undo a reservation you set for yourself, click the Reserved By Me button. Then click Release Reservation. You may also opt to allocate someone else to provide feedback on this item instead.
What Team Members See if an Item is Reserved by Someone Else
When an item is reserved by another person, you will see a Reserved warning on your approvals screen. You are still able to work on the document, and can provide feedback on the work if you wish.
If you try to Submit Changes on someone else's reserved item, you will receive a cautionary message which warns you that the work was reserved by another team member.
Once again, this is because when teams are using the ANY approval, when ONE person in the group submits their changes, no one else will be able to. Visit this guide for more information on ANY approvals.
By clicking Submit at this stage, you will be taking away that other person's ability to provide feedback on the work.
