Receiving a Document That's Been Sent for Approval

When a document is sent to you for approval, you'll first receive an email with a link to access it. You'll also be able to see the document from your Recent Activity and your Messaging Inbox as well as your Approvals tab.


Reviewing PDF Documents Sent for Approval 

When you're sent a PDF document for approval, you will have a range of tools available to you to make annotations on and approve the work, as you would when reviewing a normal piece of work that's sent for approval.



Reviewing MS Word Documents Sent for Approval

Reviewers can now access the full range of online mark up tools to review, comment and approve content in admation. When you receive a Word, Powerpoint or Excel file in the system, we take that file and generate an editable version of that file for you to review.


Word documents take time to render in the system, so you might need to check back a few minutes after the file is sent to you. 



Once loaded, you'll have the full suite of admation mark up tools available to annotate the work and provide your feedback!



Note: We also have a new optional module called Microsoft Word Approvals that you might want to check out - this allows you to natively mark up and track changes to Word documents as though in Word!


Leaving Digital Annotations on Documents

Following the general rules to provide feedback on work, you can use your mouse to select any of our digital annotation tools.

As of admation 3.94 and 3.95, you'll be able to highlight certain areas of text using our free-hand and straight line digital highlighter tools!

Select your preferred annotation tool, then drag and drop your mouse over the area of work that you would like to change. A pop-up note will allow you to leave your comments where needed! You can also style your annotations with bold, italicised, underlined, striked out or bullet pointed text.


Click Save once you are happy with your comment. Then continue to leave mark ups until you are happy to submit your feedback to the team.

You can also leave comments across multi-page documents by toggling between the pages displayed at the bottom of your screen, where applicable. We'll call out the number of comments left on each page!

As well as approve, request changes or reject, your organisation may also have the option to conditionally approve a document turned on. This means that once you have sent your feedback, you are happy for the requester to send off the document once they have made the requested changes, and you do not need to approve it again.

 

 

Click Approve, Conditional Approval or Changes once you're ready to submit your feedback to the team. 


 

Please Note: If you have been asked to approve a document as part of an approval level, user who have been forwarded work to review will no longer be able to provide feedback once the forwarder has approved / rejected or conditionally approved the work. The approval level will be automatically locked. This will ensure that no late feedback is received.


The forwarder can of course untick the lock option before or after submitting their feedback if required.
