Editing or Restricting Access to Sensitive Documents

By default, all document files are available to any member of your project team.


At times, you may like to edit or restrict access to sensitive documents stored in admation. You can do this for individual files or as a bulk edit for files within the same project.



Restricting Access to Sensitive Documents


To edit or restrict access to a single document, head to your Projects list and click on your project. Ensure that anybody who needs access to documents have been added your project team. Then scroll down to the Documents section on the resulting page to locate the file that you're after. For file/s requiring restricted access, use the checkbox Screen_Shot_2019-10-10_at_8.34.09_am.png to select the required files. Then click the Edit pen Screen_Shot_2019-09-30_at_4.13.28_pm.png in the document menu. 



You'll be able to Edit Access Controls by using the Edit pen Screen_Shot_2019-09-30_at_4.13.28_pm.png for each file on the resulting page. 


A screen will allow you to choose which members of the team have access to the files within your project. 

Use the Orange Plus icon Screen_Shot_2019-10-18_at_9.25.45_am.png to add eligible users (or organisations) that you'd like have access to the document(s). Likewise, you can use the Red Cross Screen_Shot_2019-09-30_at_2.05.53_pm.png on the right hand side of the screen to remove document access for any users you may have added by mistake. 


Click Done once you're happy.


You can then review your inputs and then Save in the top left hand corner once you're happy with your locked down permissions.

When access controls are in place:

  • Only users named in the access control settings for that file will have access to the document
  • Where users don't have document access but are part of the project team, the file will be completely hidden from that user

  • Any user not included in your project won't have access to the document at all. 

  • Some users in admation have administrative access to see all projects – this admin access allows those special users to view all projects in admation, even when they're not part of the project team. With access controls enabled, the file will be completely hidden from the project for that admin user, despite their access to the project.

Note that you may also make these kinds of edits from the manage document screen.
