Collaborating on Your Project Briefs
If your organisation uses collaboration briefs, members of your team can work together to create the brief. If your company has collaborative online briefs setup, and if your account has the correct permissions enabled, you can hit the Start a Brief button found on your Dashboard.
First you’ll see a pop up which shows the available brief templates that have been pre-loaded for your organisation. You might also Continue a brief you may have saved earlier as a draft. These are found at the bottom of the list.
Select the brief you’d like to use, then fill in as much of the brief as you can. If you find that your brief says Invite Collaborators in the top right hand corner, you're in the right place so keep reading!
If your brief says Submit Brief, then your team may not use collaborative briefs, and you may need to select another brief from the list, or follow these steps to submit a regular brief instead.
Adding deliverables to your brief
Adding deliverables from within a brief is an option that can be enabled for your organisation.
If your organisation is using the deliverable manager, check out this guide for your next steps. Whilst you can’t add artwork at this early planning stage, you can specify the following:
- Deliverable name (if you'd like to alter the pre-filled name, you can);
- Supply date (ie. when the artwork needs to be complete for launch);
- Live date (ie. launch date)
- Overview (ie. a quick overview of what you expect to see from this deliverable)
- Specifications for the deliverable. Sometimes these can be pre-loaded if specifications have been pre-filled in under asset types in your admation set up.
- Documents that you would like to link to the deliverable.
Inviting Team Members to Collaborate with you on the Brief
Once you’re happy with your inputs and once you're ready to share your brief with the team, you can Invite Collaborators to work on your brief with you.
Review your Project Name, and add a Brief Deadline if it’s needed. A brief deadline specifies how much time your team members have to add their input onto the brief. After this deadline, admationwill automatically create your project, using the information that’s been added to the brief when that deadline passes.
If you don't specify a deadline, you'll need to convert the brief into a project manually. We'll explain how to do this below.
Then you’ll need to select the different team members who will be working on the brief with you. Browse through the list of users, or use your keyboard to type in the name of the person you'd like to add to the collaboration brief.
Click the green arrow to add a user who you'd like to add to this brief. They'll show under the heading that says Selected Participants. You can also select the red cross to remove each user from the list if you make a mistake.
If you'd like to add a complete group of users to collaborate on this brief with you, select the System Groups tab, and select your pre-defined groups from here.
Once you're happy with your selections, click the Green Submit button to invite those users to work with you on the brief.
Sending the Brief to Your Collaborators
You'll then have the option to send your brief to your collaborators as an email invitation. We definitely recommend adding a Subject and a Message in this section to provide context around your invitation to collaborate on the brief.
You can also assign a message priority level and attach supporting documents here as an option too.
Click Send to invite your team members to work on your brief with you.
Your collaborators will receive an email with a link to the semi-created and briefing document.
You’ll also be taken to the documents page for the project that’s been created from your inputs so far. To continue adding to the brief, click the blue ‘i’ icon or click Back to head to your partially created project.
Accessing the Brief to Edit Before Its Deadline
If you’d like to access this page from the dashboard, head to your Projects list where you’ll see your partially created project near the top of the screen. Click your Project and scroll down to the Documents section of that page.
For a collaborative brief that is yet to meet its collaboration deadline, you'll see a white document icon and a file at V0 or Version 0. Click the Blue ‘i’ icon to collaborate and make further changes to that brief, or read on for other options.
Editing The Brief Deadline
You can also click the blue arrow icon on your projects page to access additional information about your documents. You might recognise this same page from earlier in the document. Then select the Settings icon. It looks like a grey cog. Then you can click Edit Brief Deadline.
Only the person who created the brief – not the collaborator(s) – will be able to edit the brief deadline. Click Save once you're done!
Submitting a Brief Before the Deadline
All project details are automatically finalised once the nominated deadline passes. However, if all collaborators have added their feedback before a deadline and you are keen to get the project started, you may like to submit the brief early.
Only the person who created the brief – not the collaborator(s) – will be able to submit the brief early. Rest assured that all collaborators will be notified when you do this.
To submit a brief before the deadline, follow the above steps to access your project.
Click the blue arrow icon to access additional information about your documents . Then select the Settings icon. It looks like a grey cog. Then click Submit Brief.
Admation will then take your brief, turning it into a PDF document, and adding it to your fully created project. Once the collaboration brief is officially submitted, or when it meets its deadline, you'll need to make all project and document edits via the project directly. Click Back to head back to your fully created project.
